Same Day Embroidery is the responsible party for personal information collected through samedayembroidery.co.za and our shop at Shop L23, Rivonia Central, Rivonia, Sandton. 2. What we collect

Quote and contact forms: your name, phone number, email address, company name, order details and any artwork or files you upload.
On-site chat and WhatsApp: your name, contact details and the messages and files you send us.
Orders and shop purchases: billing and delivery details and order history needed to fulfil and invoice your order.
Name lists: names you supply for personalised garments, such as staff, learners or team members. Please only send names you are permitted to share.
Website usage: technical information such as pages visited, browser type and approximate location, collected through our analytics and security tools.

3. Why we use it and our legal basis

To prepare quotes, proofs and invoices, and to produce, collect or deliver your order (necessary to conclude or perform a contract with you).
To answer questions and keep you updated about your order (contract and legitimate interest).
To keep the website secure, prevent fraud and understand how the site is used so we can improve it (legitimate interest).
To meet tax, accounting and other legal obligations (legal obligation).
To send occasional updates or offers, only where you have agreed or are an existing customer, with an easy way to opt out (consent or legitimate interest).

4. Who we share it with

We do not sell your personal information. We share it only with service providers who help us run the business, and only as needed:

Our website hosting and email providers.
Wordfence (website security and firewall).
WP Statistics (website analytics).
WooCommerce (our online shop system) and the payment provider you choose at checkout, where applicable.
WhatsApp, when you choose to contact us that way.
Couriers, when you ask us to arrange delivery.

We may also disclose information where the law requires it. Some providers may store information outside South Africa; where this happens, we rely on providers that offer adequate protection as POPIA requires.

5. How long we keep it and how we protect it

We keep quote, order and invoice records for as long as needed for the purpose they were collected, and for the periods required by tax and accounting laws. Artwork and digitising files may be kept to make repeat orders easier; you can ask us to delete your artwork when it is no longer needed.

Files uploaded through our quote forms are stored in private storage that is not publicly accessible. We use a secure (SSL) connection, access controls and security monitoring to protect information. No system is completely secure, so please avoid sending sensitive information that we do not need.

6. Your rights

Under POPIA you may:

Ask whether we hold personal information about you and request access to it.
Ask us to correct or update inaccurate information.
Ask us to delete information we no longer need or are not entitled to keep.
Object to processing based on legitimate interest, and opt out of marketing at any time.
Lodge a complaint with the Information Regulator of South Africa if you are unhappy with how we handle your information.

Our website uses cookies and similar browser storage, explained in our Cookie Policy. We may update this policy from time to time; the date at the top shows when it was last changed.
